Production Department

CREATING AND FILLING A DELIVERY NOTE

  1. Get the items from the Sales Order by clicking Get items from and selecting "Sales Order". Select the appropriate order and click OK.

  2. Determine if the order requires pictures, or if there are any other special requirements.

  3. Determine if the shipment is eligible to ship early by checking the Early Dispatch Eligible check-box. If unchecked, the order can ship on the ship date. If yes, the order can ship ASAP.

  4. Fill Item Information.

    1. Fill Batch/Serial info if necessary

    2. For more information, see Supplemental Guide 4 – Delivery Note Item Details.

  5. Fill the "Packing information" section, as necessary. Fields are:

    1. Weight - Total weight of shipment, in lbs. If multiple cartons/pallets, record individual weights in the comments section.

    2. Cartons - Number of cartons in the shipment

    3. Cylinders - Number of cylinders in the shipment

    4. Vol - Total amount of agent in the shipment

    5. Pallets - Total number of pallets in the shipment

    6. Exempt - Unused

  6. Attach photos if taken.

  7. Attach Dangerous Goods Identification Sheet (MC Sheet), if necessary

  8. Save the delivery note.

  9. If third party verification is required, have the verifier comment on the order.

  10. Once finished, update the status by clicking Actions and then Complete. This will update the status to Packing Complete.

Customer Support Department

CLEARING ORDERS FOR SHIPMENT

The CS user will be responsible for clearing Delivery Notes for Shipment. Orders that need review will be in the Packing Complete or QA Documentation Complete status. To clear a Delivery Note for Shipment:

  1. Open the Delivery Note to be cleared for shipment.

  2. Review the Delivery Note and linked Sales Order to verify it is ready for shipment. Items to address may include:

    1. Payment

    2. Grouping of customer orders for consolidated shipment

    3. Quality documentation (open QA drop-down section to scan for requirements)

    4. If QA documentation is required, change the status to Pending QA Documentation

      1. When QA has attached the proper documentation, the status will be QA Documentation Complete.

    5. If QA documentation is not required, go to the next step.

    6. Once the Delivery Note has been verified and can be cleared for shipment, change the status to CLEARED FOR SHIPMENT

Quality Assurance Department

Completing QA Documentation

  1. Open the Delivery Note that you intend to complete QA documentation.

  2. Complete the appropriate QA documentation. Attach the documentation to the Delivery Note

  3. Save the Document.

  4. Change the Document Status to QA Documentation Complete.

Inventory Control Department

FILLING AND SUBMITTING A DELIVERY NOTE

  1. Filter the list to show Delivery Notes with the status Cleared for Shipment.

  2. Open the proper Delivery Note for the shipment.

  3. Determine if the shipment is eligible to ship early by checking the Early Dispatch Eligible check-box. If unchecked, the order can ship on the ship date. If yes, the order can ship ASAP.

  4. View the delivery method under the Shipping Information section. Fill the carrier name and tracking number, if applicable. Fill any additional required information.

  5. Save the Form.

  6. Print the Delivery Note with the appropriate print format.

    1. For Packing Lists, use Sea-Fire Packing List.

    2. For Commercial Invoices, use Sea-Fire Commercial Invoice.

  7. Submit the order by changing the workflow state to Shipped.
